Document Controller

The Berlin office of Gerber Architekten International is looking for a highly qualified document controller (m / f / d) with suitable experience within an exciting, international prestigious mega-project.

You should have a high level of knowledge in Aconex, as well as the depth knowledge of document control systems and procedures.

Senior and junior candidates with key qualifications are also encouraged to submit their applications.

Your key qualifications:

  • Bachelor’s degree or equivalent in a related field as a minimum
  • In-depth knowledge of document control systems and procedures
  • Demonstrable track record in the delivery of large multi-functional projects
  • A “rounded profile”, comfortable with working with diverse team members
  • Act as administrator for document control software Aconex at Design Management office
  • Effective in building good working relationships within the project team, and with project stakeholders and contributes as   a team player who is deadline driven
  • Complete and comply with all operational H&S requirements to ensure safe working practices
  • Minimum of 5 years Document Control/Management experience on major and complex building projects using
  • ACONEX software experience is essential
  • Proficiency in the use of Aconex
  • Good written and oral communication skills in UK English
  • Highly organized, pro-active and can work with minimal supervision
  • High level working knowledge of MS Office and related word processing, spreadsheets, and database software

Your key responsibilities will be:

  • Ensuring that pre-established document control requirements are satisfactorily met throughout the project duration
  • Maintaining and reviewing the established data distribution system ACONEX for the DMO and schedule for the assigned project based upon client, project, department, and supplier requirements
  • Maintaining and controlling the numbering, filing, sorting and retrieval of electronically stored and hard copy documentation produced by the DMO project team and DMO project stakeholders in a timely, accurate and efficient manner
  • Receive, track, catalogue, and monitor documents Aconex (EDS) to register documents, technical documents, maintain databases, and produce logs, transmittals, and other reports and related information as require and in an orderly manner, in line with policies and procedures
  • Work with precision to ensure that all electronic and hard copy filing is accurate and is easily retrievable
  • Create and maintain users on project electronic document control management systems Aconex
  • Enters data and produces reports using other standard office automation or department-specific computer applications
  • Track and chase outstanding RFIs responses
  • Track and chase outstanding Design Submittals responses
  • Respond in a timely manner to requests to retrieve information, information searches and general requests for support from project team personnel
  • Prepare and attend document control team meetings at DMO and Joint Venture level as required and prepare minutes accordingly
  • Support project team and support monthly cross project Document Control / Project Administration health checks assessment.
  • Provide advice, guidance and training on data, electronic document control management systems Aconex to the design directorates Teams
  • Archive project systems data at project Handover
  • Perform other responsibilities associated with this position as may be appropriate
